Microsite Health (“we,” “our,” “us”) provides CRTX, a software product that answers in seconds across phone, text, chat, forms, and social DMs to help practices book appointments and bring a person in when needed. Microsite Health is a DBA of The Executive Whisper, LLC. Our principal address is First Central Tower, 360 Central Ave., Suite 800, St. Petersburg, Florida 33701.
This Privacy Policy applies to visitors and users of the CRTX website, webchat, forms, phone lines, and messaging channels we operate for marketing and support.
If you are a patient of a dental/medical practice that uses CRTX, we typically act as that practice’s service provider and Business Associate under HIPAA; in those cases, your provider’s Notice of Privacy Practices governs, and we process information per their instructions (minimum-necessary, with BAA available).
We collect information you provide or that is generated through your interactions with us, including:
Contact & identifiers: name, phone, email, practice name.
Communications & engagement: call audio/recordings, call summaries/transcripts, voicemails, SMS/chat/DM content, form submissions, timestamps, and related interaction metadata. CRTX writes each call/message/form into a single timeline for the relevant profile.
Technical data: device/browser, IP address, and cookie-based analytics/diagnostics.
Preference & scheduling data: availability windows, appointment preferences.
Practice relationship data (for clients/prospects): practice details publicly available on the web that you direct us to use during onboarding.
We use information to:
Provide, operate, maintain, and improve the CRTX service and website.
Respond to inquiries and support requests and to book/confirm appointments or set a confirmed hold or share an online scheduling link where direct write is not available.
Create one consolidated timeline of your interactions so nothing is lost across channels.
Enforce opt-out and quiet-hours rules and escalate to a human when indicated.
Comply with law, secure our services, and prevent misuse.
When you call, text, chat, or submit a form, you consent to be contacted by Microsite Health (and our agents acting on our behalf) by phone and text at the number you provide. Messaging frequency varies. Message and data rates may apply. You can opt out anytime by replying STOP (or END, CANCEL, UNSUBSCRIBE, QUIT). We honor opt-outs immediately and stop automated SMS. For healthcare contexts, we use a minimum-necessary approach, maintain encryption and role-based access, keep audit trails, and sign a BAA when required. We do not provide clinical advice through our marketing channels.

For webchat/forms with no usable contact information, CRTX automatically deletes the record after a short, defined window so we don’t store unrecoverable leads (e.g., 24-hour cleanup if no phone and no email are ever collected).
We routinely remove empty webchats and shells; nightly cleanup enforces these hygiene rules.
We employ technical and organizational safeguards reasonably designed to protect personal information (e.g., encryption, access controls, audit logs). No method of transmission or storage is 100% secure, but we continuously improve protections.
Opt-out of texts: reply STOP. We’ll set Do Not Disturb and stop automated SMS.
Update or delete: contact us using the information below. If we process your data on behalf of a provider, we may route your request to that provider.
State privacy rights: Depending on where you live (e.g., CA, CO, CT, VA), you may have rights to access, correct, delete, or limit certain processing. Use the contact methods below to submit a request.
